Units and Committees at College of Applied Engineering for the Academic Year (1446 AH / 2024 AD - 2025 AD)


Scientific Committee for Applied Electrical/Mechanical Engineering Program

Tasks:

Regarding Teaching Load:

  • Coordination through the program supervisor with the college’s scheduling committee to propose the distribution of teaching loads for each semester among faculty members and their equivalents, according to academic needs and interests, and submit it to the Dean for approval.

Regarding Curricula and Study Plans:

  • Propose modifications or development of the program’s study plan.

  • Propose modifications or development of the program’s curricula.

  • Suggest updates to textbooks and references used in the program and submit recommendations to the College Council for approval as per academic regulations.

  • Recommend modifications to course content and descriptions and submit them to the College Council for approval.

  • Review and correct both short and detailed course descriptions in Arabic and English.

  • Maintain a standardized syllabus for each course at the beginning of each semester, detailing assessment methods and faculty office hours.

Regarding Students:

  • Address students' academic issues and suggest solutions in line with general regulations when no specific rule applies, and submit them to the College Council.

Regarding Faculty Members:

  • Review applications for hiring new faculty members in the program and submit recommendations to the College Council.

  • Evaluate faculty members’ promotion applications and submit recommendations to the College Council.

  • Review faculty requests related to transfers, secondments, sabbaticals, resignations, consulting services, attendance at conferences, workshops, and training courses, and submit recommendations to the College Council.

  • Recommend faculty hiring needs for the program and submit proposals to the College Council.

  • Recommend recruiting outstanding faculty members according to university regulations and submit recommendations to the College Council.

Regarding Teaching Assistants and Scholarship Students:

  • Evaluate applications for hiring teaching assistants, lecturers, researchers, and research assistants, conduct employment assessments, and submit recommendations to the College Council.

  • Review requests related to scholarships, extensions, and related matters, and submit recommendations to the College Council.

  • Monitor scholarship students’ progress, maintain communication, and prepare an annual report on their academic performance.

Regarding Graduation Projects:

  • Receive and evaluate project proposals from students and faculty at the beginning of each semester, selecting appropriate projects based on the program’s objectives and the college’s strategic directions, and submit them to the Dean for approval.

  • Establish clear guidelines for project execution, follow-up, and evaluation.

  • Create a database for graduation projects and maintain reports.

  • Coordinate with the scheduling committee to organize project groups and sections.

  • Assign project supervision among faculty members.

  • Propose improvements to graduation projects.

  • Define the specifications and template for the final project report.

  • Form committees for project discussions as per the schedule.

  • Establish a permanent exhibition showcasing outstanding graduation projects.

Other Responsibilities:

  • Address topics referred by the College Dean or College Council.


Study Schedules and Teaching Load Committee

Tasks:

Regarding Student Registration:

  • Monitor student registration at the beginning of the semester and resolve related issues.

  • Estimate the number of students expected to enroll in the next semester.

  • Identify students expected to graduate and the courses they still need for registration.

  • Identify students expected to begin their internships and forward the information to the internship unit.

  • Provide other academic system statistics when needed.

Regarding Class Schedules:

  • Prepare comprehensive schedules, including course timings, classroom assignments, final exam periods, and faculty assignments, in coordination with program supervisors, related colleges, and the Deanship of Admission and Registration. Submit the schedules to the Dean for approval.

Regarding Teaching Load Distribution:

  • Assign teaching loads each semester for faculty members and their equivalents in each program, in coordination with the program supervisor, and submit for the Dean’s approval.

Regarding Additional Teaching Hours:

  • Establish and enforce policies for additional teaching hours to maintain educational quality.

  • Prepare necessary documents for compensating faculty for extra teaching hours at the end of each semester.

Regarding Part-time Faculty:

  • Review applications for hiring external faculty and submit them to the Dean for approval, forwarding them to the university’s Permanent Committee for Teaching Load and Part-time Faculty.

  • Prepare documents for part-time faculty compensation at the end of each semester.

Other Responsibilities:

  • Assign Mathematics, Physics, and General Engineering courses.

  • Handle tasks assigned by the Dean or the Vice Dean for Academic Affairs.


Student Activities Unit

Tasks:

  • Promote student activities and introduce incentives in coordination with the Deanship of Student Affairs.

  • Organize periodic meetings between students and college officials.

  • Establish the Dean’s Award for the Distinguished Student in each program.

  • Organize workshops, lectures, and academic field visits.

  • Conduct cultural and scientific competitions with incentive prizes.

  • Supervise the College’s Applied Engineering Club.

  • Handle tasks given by the College Dean.


Scientific Research Unit

Tasks:

  • Promote applied research and scientific expansion.

  • Coordinate with the Deanship of Scientific Research.

  • Maintain a database of faculty publications.

  • Organize specialized academic lectures on a scheduled basis.

  • Prepare updates for the college's research webpage.

  • Handle assignments given by the College Dean.


Public Relations and Media Unit

Tasks:

  • Coordinate the reception of official delegations visiting the college.

  • Provide news on college activities to media institutions when necessary.

  • Develop schedules for college events and visits.

  • Supervise the college’s website and social media accounts upon approval from the relevant authority.

  • Prepare and distribute brochures, publications, and informational posters.

  • Manage college media screens.

  • Organize hospitality services for events.

  • Collaborate with the College’s Community Relations Unit.

  • Handle assignments given by the College Dean.


Administrative Units Linked to the Vice Dean for Educational and Academic Affairs

1. Academic Affairs Unit

  • Ensure compliance with academic regulations.

  • Review student requests related to attendance, excuses, registration, transfers, major selections, withdrawals, and course equivalency.

  • Handle tasks assigned by the Dean or Vice Dean for Academic Affairs.

2. Student Affairs Unit

  • Publish announcements and communicate with students via multiple channels.

  • Address requests from the Deanship of Student Affairs.

  • Coordinate with the Student Activities Unit.

  • Handle tasks assigned by the Dean or Vice Dean for Academic Affairs.

3. Examination Unit

  • Prepare semester exam and monitoring schedules.

  • Coordinate final exam timings with the Scheduling and Teaching Load Committee.

  • Oversee exam administration and resolve attendance issues.

  • Address academic misconduct cases.

  • Handle tasks assigned by the Dean or Vice Dean for Academic Affairs.

4. Academic Advising Unit

  • Assign academic advisors to students.

  • Conduct orientation sessions for new students.

  • Provide academic, psychological, and social guidance.

  • Support gifted and struggling students.

  • Assist students during the course registration process.

  • Handle tasks assigned by the Dean or Vice Dean for Academic Affairs.

5. Internship and Industrial Partnerships Unit

  • Maintain a database of student internship opportunities.

  • Identify students eligible for summer internships.

  • Organize internship preparatory sessions.

  • Coordinate with companies for internship placements.

  • Support industry-academia collaboration in research and training.

  • Handle tasks assigned by the Dean or Vice Dean for Academic Affairs.


Units Under the Vice Dean for Development and Quality

  • Quality Assurance Unit: Oversees accreditation and quality standards.

  • Laboratories Unit: Manages laboratory equipment and maintenance.

  • Alumni Affairs Unit: Maintains graduate records, conducts surveys, and organizes job fairs.

  • Data Management Unit: Collects statistical data and prepares reports.

Administrative Affairs Unit

  • Monitor employee attendance.

  • Manage college administration in coordination with university departments.

  • Maintain college facilities and oversee safety procedures.

Financial Affairs Unit

  • Manage the college’s budget and financial transactions.

  • Ensure compliance with financial regulations.

Faculty Affairs Unit

  • Handle faculty requests related to office space, travel, salaries, and academic needs.
